After email-consultation with the members of the board a picture arises of a view of the way the analysis of HARP should be organised. I believe that, although differently worded by everyone, there is a large overlap in the way people would like to approach the analysis and software process. I retain the following points: -The analysis meetings should be convened by a newly appointed analysis coordinator, who should work closely together with Simone and have a large availability at CERN. The analysis is a project which will use the software, but is not part of the software project. -Inside the software project, there is a need for a "large angle" and "small angle" reconstruction coordinator. -Planning towards a common goal for the software and the analysis projects is needed. An ad-hoc planning group should be set up including the software and analysis coordinator. -There is a general wish to have regular analysis meetings. (frequency once in about two weeks, to be defined by the coordinator) -Regular communication with the people working outside CERN should be set up. Perhaps telephone conferencing each second analysis meeting. -Some names were mentioned. The possibility for presence at CERN is one of the requirements, especially for the analysis coordinator. A number of additional consultaions were done to come to a proposal for names. The present proposal has the agreement of our spokesman. I would like therefore to propose the following. -Appoint Juan-Jose Gomez as HARP analysis coordinator. We have this opportunity since he will be at Geneva University for a year. -Appoint Gabriella Catanesi as "Large Angle" reconstruction coordinator inside the software project. She has already made numerous contributions to this subject and coordinated students for the work of the status report. I hope she can be present at CERN sufficiently often. -Appoint Malcolm Ellis as "Small Angle" reconstruction coordinator inside the software project. He clearly knows the issues. The most difficult problem to solve would be an increased presence at CERN. -Keep Simone Giani as our software project leader. -Install a common software and analysis ad hoc planning group with as aim to reach a first physics publication. In addition to the software project leader and analysis coordinator appoint Christopher Wiebusch who would then convene this group and maybe add a small number of other members. This is a proposal. I hope that the board members can find a general consensus on the way we organize our analysis and that this proposal is a useful basis for the discussion.
